design assistant/coordinator

mimi pineau design is a Toronto-based boutique residential interior design firm offering high-end, full‑service design and project coordination.  We are looking for a professional, organized and detail-oriented assistant/coordinator to join our team

key responsibilities
-          Communicating regularly and effectively with clients by telephone and email
-          Overseeing client projects from start to finish and ensuring adherence to deadlines
-          Coordinating project timelines including deliveries and installations
-          Attending project meetings and providing documentation support
-          Assisting with site measures and site visits
-          Liaising with existing suppliers and initiating relationships with new suppliers
-          Maintaining design sample libraries
-          Entering product information and expenses into our business database, Design Docs
-          Creating client proposals, vendor purchase orders, purchasing and tracking orders for multiple projects
-          Assisting in sourcing furniture, fixtures and materials
-          Assisting in preparing samples and documents for client presentations
-          Assisting with installation days and photo shoots

-          Professional, outgoing and mature demeanour
-          Previous experience in a design-related or customer service field
-          Excellent written and verbal communication skills and professional phone manner
-          Excellent organizational skills and attention to detail
-          Ability to prioritize workload, multi task and meet deadlines in a busy environment
-          Mathematical aptitude for calculating pricing, discounts, commissions, and measurements
-          Keen interest in design
-          Basic understanding of different materials, furniture, finishes and specifications
-          Willingness to learn, be creative and take initiative
-          Working knowledge of MS Office
-          Knowledge of AutoCAD, SketchUp and Photoshop are strong assets
-          Knowledge of Design Docs accounting software is an asset
-          Valid driver’s license and access to a vehicle
-          Physically able to lift and carry samples and light furnishings when required

This is a part-time position, requiring work in-office and off-site. Additional weekday communication may occur by email and telephone outside of these hours, requiring regular monitoring and a reasonable response turnaround time.
